This policy describes how Voltex Physical Therapy, LLC (“Voltex Physical Therapy,” “we,” “us,” or “our”) collects, uses, and discloses information you provide through www.voltexpt.com, its sub-domains and affiliated sites, and our accounts on Facebook®, Instagram®, LinkedIn®, TikTok®, X®, and YouTube® (collectively, the “Sites”). Please also review our Terms of Service, which govern your use of the Sites. By using the Sites, you consent to this Privacy Policy.

 

IMPORTANT NOTICE REGARDING TEXT MESSAGING DATA

We do not share client opt-in information — including mobile phone numbers and consent records — with affiliates or third parties for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from every information-sharing category described in this policy, other than the aggregators and providers that deliver our messages on our behalf.

 

1. Information We Collect

Information collected automatically. When you visit the Sites, certain technical information about your device is collected automatically, including IP address, domain name, browser type, access time, and referring website. We use this information to analyze and improve the Sites, troubleshoot problems, and confirm that use of the Sites complies with our Terms of Service.

Voltex Physical Therapy, LLC is a healthcare provider. This Privacy Policy governs information collected through our website, scheduling forms, and messaging programs; it does not replace or limit the protections your PHI receives under HIPAA.

Please do not send detailed medical information through website forms, email, or text message. These channels are not encrypted end to end and are not intended for clinical communication. If you need to discuss your condition, contact the clinic directly or raise it at your appointment.

 

4. SMS Messaging & Compliance

By providing your mobile number and opting in, you consent to receive text messages from Voltex Physical Therapy, LLC.

Opt-in and consent

  • You will receive messages only if you have affirmatively opted in, which is collected through a dedicated SMS consent checkbox on our forms
  • We maintain timestamped records of every opt-in
  • Consent to receive text messages is not a condition of receiving care or services
  • We comply with the Telephone Consumer Protection Act (TCPA) and applicable CTIA guidelines

Message content and frequency

  • Messages include appointment confirmations, reminders, rescheduling notices, and client support communications

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Sharing with subcontractors that provide support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

 

5. Information Sharing & Disclosure

We do not sell, rent, or trade personal information. We may share information in these circumstances:

Service providers. Third-party vendors that support our operations — including payment processing, appointment scheduling, and SMS delivery — receive only the information needed to perform their function and are contractually obligated to maintain its confidentiality and security.

Legal compliance. Where required by law or legal process, in response to valid law enforcement requests or court orders, or to protect our rights.

Business transfers. In connection with a merger, acquisition, or sale of assets, in which case your information remains subject to this policy.

Each category above excludes text messaging originator opt-in data and consent, which is shared only with the aggregators and providers that deliver our text message service.

 

6. Data Security

We implement and maintain reasonable safeguards to protect your personal information, including encryption of sensitive data in transit and at rest, access controls and authentication, periodic security review, staff training on data protection, secure backup procedures, and breach notification consistent with applicable law.

No method of internet transmission or electronic storage is completely secure. We use commercially reasonable means to protect your information but cannot guarantee absolute security.

If we learn we have collected information from a minor through the Sites in violation of this policy, we will delete it.

 

10. International Visitors and GDPR Rights

If you visit the Sites from outside the United States, be aware that you are sending information to the United States, where our servers are located. Information you submit may be transferred within or outside the United States depending on its type and how it is stored. Those countries may not have data protection laws as comprehensive as those of your country of residence; regardless, our collection, storage, and use of your data continues to be governed by this policy.

If you are located in the European Union, you have rights under the GDPR, including the right to object to processing, the right to data portability, and the rights to erasure, rectification, access, and restriction of processing. Where you have consented to processing, you may withdraw that consent at any time; withdrawal does not affect data lawfully collected before the withdrawal. Requests concerning your medical records are handled under HIPAA and our Notice of Privacy Practices rather than this policy. To exercise any of these rights, contact us using the information in Section 14.

 

12. Data Retention

We retain personal information only as long as needed to fulfill the purposes for which it was collected, unless a longer period is required by law. Medical records are retained for the period required by Texas law and applicable professional regulations. Other information may be retained as necessary to comply with legal obligations, resolve disputes, and enforce our agreements.

We may update this policy periodically. The current version, with its effective date, will always be available on our website. For significant changes, we will notify you by email or through a notice posted on the Sites.
